How Should I Organize My Tax Returns and Bank Statements for a Mortgage?
By Jeff Moran, NMLS #483943 · October 15, 2026
You may have your personal tax return in one folder, a business return with your accountant and bank statements waiting to be downloaded. I'd like us to get the requested documents lined up before you find a home.
Organize your requested tax returns by tax year and business, keep the supporting schedules with them, and group your bank statements by account and statement period.
I'm Jeff Moran, a mortgage broker in Bluffton, South Carolina, originating since 1996, licensed in fifteen states, NMLS #483943, through C2 Financial Corporation.
My preparation advice is: "Have all your tax returns lined up. Have them easy to forward to your lender." We can confirm which documents your loan needs, then make sure the complete files are ready to review.
Confirm the request before building the folders
Please let me know how you're paid and which businesses and accounts are part of your situation. We can use that information to make your document list.
Fannie Mae's employment documentation guide ties the W-2 history to the particular income type. Your actual request needs to reflect your income and loan, rather than an assumption that every document covers the same number of years.
The mortgage document overview describes the main categories. The income-history article gives more background on the reason for reviewing history; we will confirm the exact requirements for your file.
Do I need to send complete tax returns?
Fannie Mae's tax return documentation guide says that required personal federal income tax returns must be copies of what was filed, including all supporting schedules. It also describes transcript alternatives and the signature requirements.
Please keep the complete requested return together, with all pages and schedules. If your accountant sends several files, you can label the related files so we can identify which return they belong to. A summary page by itself is not the complete return described in that guideline.
For a business, keep its return separate from your personal return and identify the related Schedule K-1 if one was issued. Fannie Mae's business structures guide explains why the forms differ among sole proprietors, partnerships and corporations. We will identify the actual forms your business files.
Group your statements by account and reporting period
You can create a folder for each requested account and put its statements in date order. I'd use a short account description and the last four digits to distinguish accounts with similar names.
Fannie Mae's asset verification guide requires statements to identify the financial institution and the account holder, show at least the last four digits of the account number, and include the period covered, the account transactions and the ending balance. For its purchase statement route, the guide generally calls for the most recent full two-month period, or the most recent quarter for quarterly reporting.
We will confirm the period and verification method that apply to your loan. Please provide the complete statement files we request, rather than a balance screenshot that leaves out the account activity or reporting period.
Use file names that tell us what we're reviewing
These are organization suggestions, not a lender's required naming system:
| Document | Example file name |
|---|---|
| Personal federal income tax return | tax-year-personal-federal-income-tax-return.pdf |
| A separate business return | tax-year-business-name-federal-income-tax-return.pdf |
| Schedule K-1 supplied separately | tax-year-business-name-schedule-k1.pdf |
| A bank statement | account-description-last4-statement-end-date.pdf |
The words tax-year, last4 and statement-end-date stand for the details on the document. Naming the file doesn't replace any page inside it. Please use the document-delivery method we agree on so the files and any outstanding items reach the same place.
Keep transfer records with the accounts involved
In an invented organization example, suppose savings will move from an investment account into a checking account. You can keep the requested account statements in their own folders and save any transfer records with a note identifying both accounts.
The purchase-funds guide explains the planning conversation. We can then discuss any deposit documentation the lender actually needs, without assuming every transfer requires an additional explanation.
Common questions
Should I send only the first pages of my tax returns?
Please provide the complete requested personal federal income tax returns, including all pages and supporting schedules, as Fannie Mae's tax return guide requires. That keeps the filing together for review.
Do my personal and business tax returns go in the same file?
You can keep each complete return in its own file and label the business and tax year clearly. We will confirm which personal and business records your loan needs.
Should I assume the lender needs two years of bank statements?
Please confirm the actual statement request. Fannie Mae's asset verification guide generally uses two months of purchase account activity, with a quarterly alternative. A request for income history is separate from the account statement period.
Can I start organizing before making an offer?
Yes. My preference is to have the requested documents ready and reviewed early. The preparation checklist keeps that review beside your other pre-shopping tasks.
You can start by asking me to confirm your document list, then organize the requested files by return, business and account.
